The playlist on a laptop

Somebody in operations makes a Spotify list and plugs it into the venue's ceiling speakers. It saves $2,000 and costs you the evening. There is no volume curve, no build, nobody reading the room, and the dance floor opens and closes at random. If the budget is truly $0, at least give one person the job of running it live.

Forced team-building games

The holiday party is the one night staff are not being optimized. Escape-room relays and icebreaker bingo read as unpaid work in a nicer room. Save the structured activity for the offsite and let the party be a party.

The 40-minute executive speech

Speeches are fine. Speeches after the bar opens, running past 20 minutes, with slides, are how a room dies. Put remarks before dinner, cap them, and hand the room to the music straight afterward while people are still up.

Booking the cheapest band you can find

A $1,500 quote for a 7-piece is not a bargain, it is a missing line item. Rehearsal, liability insurance and backup performers are the three things that get deleted to hit that number, and they are exactly the three things your venue and your legal team will ask about in November.

This is a real shape of budget for a 200-person company party in a mid-market US city, in a hotel ballroom, on a December Friday. It is the one we get asked to price into most often.

Note where the entertainment sits: about 13 percent of the total. It is the line item guests judge the night by, and it is rarely the line item finance argues about. Catering is four times the price and nobody goes home talking about the chicken.

For procurement: we invoice on Net-30, provide a W-9 and a certificate of insurance naming your venue as additional insured, and sign one contract covering the band, the PA, the lighting and the DJ sets. Most planners are replacing three vendors with that.
