A live band for a private party in the United States typically costs $2,500 to $8,000, and the fee tracks headcount and stage time far more than it tracks the size of your guest list. Plan on two 45-minute sets across a three to four hour party, book four to six months out for a Saturday in spring or fall, and get the load-in window, the power requirement and the vendor meals into the contract before you sign. A band earns its money at a party that is itself the occasion: a 50th, a 60th, a milestone anniversary, a retirement. For a casual backyard evening, a DJ does the same job for a third of the price.

A full band pays for itself when there is a real dance floor, a mixed-age room, and a reason for everyone to be there. Every one of these has the same shape: an adult crowd, a person or a couple being celebrated, and a catalog that three generations already know by heart. That last part is why Motown outperforms current hits at a private party.

Milestone birthdays

50th, 60th, 70th. Our single most common private booking. The guest of honor grew up on this catalog and their kids know it from movies and samples, so the floor fills on the first chorus instead of the fourth song.

Anniversary parties

25th, 40th, 50th. We learn the couple's song and put it early, not at the end, so the people who came for the toast get the moment before anyone leaves. Families often ask for the year they married as the set theme.

Retirement celebrations

Often half private party, half work event, which means a speaking program in the middle. We build the sets around it and hold the volume down until the microphone is finished.

Engagement and rehearsal dinners

The run of show

How a four-hour private party actually runs

The mistake hosts make most often is starting the band too early. Guests arrive across a 45-minute window, and a band that hits its first big number to a half-empty room has spent its best material on nobody. Hold the live music until the room is full and people have eaten. The second mistake is putting the speeches after the first set, which turns a room that was on its feet back into a seated room you then have to lift twice.

This is the spine we use. Adjust the clock, keep the order. If your party has a cake moment or a toast, tell the bandleader the day before and it gets a cue rather than an awkward pause.

The quote

What moves the price of a private party band

Two hosts can get quotes $3,000 apart from the same band for the same night. Here is what actually creates that gap, so you can compare offers on the same basis instead of on the headline number.

Headcount on stage

The single biggest factor. Each additional musician is a fee, a meal and a seat in a vehicle. A five-piece and a nine-piece play the same songs; the nine-piece plays them with horns and three-part harmony, which is what you are paying the difference for.

Stage time and total call

Two sets is standard. A third set, or a start time that pushes the band past midnight, adds cost. So does a long gap between load-in and downbeat, because the band is on the clock from the moment the truck arrives.

Travel and lodging

Inside a two-hour drive it is usually folded into the fee. Beyond that you are paying mileage or flights plus hotel rooms for the whole band. Ask for it as a separate line so you can see it.

Sound, lighting and power

We carry a PA that covers rooms up to about 400 people and our own stage lighting. Larger rooms, outdoor tents and anywhere needing a generator mean a rental line. Confirm your venue's circuits before anyone signs.

Date and season

A Saturday in October costs more than a Thursday in February, because one is the last date to go and the other is the first. If your party date is flexible, moving it midweek or into the winter is the cheapest discount available to you.

Learn requests

One song outside the book is normal and usually free. Four is a rehearsal, and honest bands charge for it. Pick the one song that matters, usually the couple's or the guest of honor's, and take the rest from the existing songbook.

Send the date and the room

Date, venue, rough headcount and what the party is for. Those four things are enough for a real quote. We hold dates for seven days without a deposit.

Pick the lineup

Five-piece, seven-piece or the full nine with horns. Room size and ceiling height decide this more than budget does, and we will say so if the space cannot take the big version.

Sign and lock it

An itemized contract with set times, load-in window, power needs, meals and the cancellation terms. Fifty percent deposit, balance on the day. What each clause should say is in our band contract guide.

Build the set

Two weeks out we take your must-plays, your do-not-plays and the one song that matters, then send back the running order for the night.

How much does it cost to hire a band for a party?

Most US private parties land between $2,500 and $8,000 for a live band. A four or five-piece covers $2,500 to $6,000, a seven to nine-piece show band $5,000 to $15,000. Non-wedding private events sit lower than weddings because the night is shorter and the setup is simpler. Our packages run $3,400 to $12,500.

Is a band or a DJ better for a private party?

A DJ is better when the guest list spans three generations with no shared taste, when the room is small, or when the budget is under $2,000. A band is better when the party is the occasion itself, a milestone birthday or a big anniversary, and you want people talking about it afterward. Plenty of hosts book both.

How long does a band play at a private party?

Two 45-minute sets or three 40-minute sets is the standard, spread across a three to four hour party with recorded music in the breaks. Ninety minutes of stage time is the point where a full band fee starts to make sense. Shorter than that and a DJ or a duo does the same job for less.

How far in advance should you book a band for a party?

Four to six months for a spring or fall Saturday, and eight to twelve months if your date is in December or the first Saturday of a holiday weekend. Midweek and January through March dates are often available inside six weeks. The date drives availability far more than the size of the party.

What kind of band is best for a 50th birthday party?

A Motown, soul or classic-rock band beats a current-hits act at a milestone birthday, because the guest of honor and their friends grew up on that catalog and their adult children still know every chorus. The test is simple: can a 25-year-old and a 70-year-old sing the same song? Motown passes.

Do you have to feed the band at a private party?

Yes for any booking over about four hours on site, and it is written into most band contracts as a hot meal per musician. It is not a courtesy line. Load-in usually starts three hours before downbeat, so a nine-piece has been at your venue since the afternoon. Vendor meals cost a fraction of a plated guest meal.
